The Positive Pay action works a little differently from other actions. Instead of focusing on payment batches, it displays all Action Board-enabled companies and their associated bank accounts. You can generate Positive Pay files for one or more bank accounts in a single process.

Before you begin, make sure Positive Pay is already set up for your environment.

Generating a Positive Pay file

The following information is required to generate a Positive Pay file:

  • Bank Payment Type: Computer checks, manual checks, and EFTs are all supported.
  • Last Upload Date: The date from which to begin collecting transactions. This defaults to the previous cutoff upload date used.
  • Cutoff Upload Date: The date through which you want to collect transactions for export.
  1. Go to Action Board.
  1. Select Positive Pay from the Action menu.
  1. Select the bank account(s) you want to generate files for.
  1. Enter the required information:
    • Choose a Bank Payment Type
    • Set the Last Upload Date
    • Set the Cutoff Upload Date

  1. Click Process.

  1. Once processing completes, click Download Positive Pay Files.

  1. Your files will be saved as a .zip file via your browser.

Downloading previously generated files

If you haven’t processed a new Positive Pay file yet, you can download the most recent Positive Pay files as many times as needed. Action Board keeps that data until you create a new set of files.

To download a file after generating a new batch:

  1. Go to the bank account card.
  1. Choose Related > Bank Acc. > Positive Pay Entries.
  1. Select the entry you want to export again.
  1. Click Reexport Positive Pay to File.

Note: If you try to reexport a file with the same parameters for a bank account you’ve already processed, you will be alerted that there are no files available to download.
